Terms of use
Last updated 2 October 2026
These terms are an agreement between you and United Square Pty. Ltd. (ABN 82 618 171 010), trading as USQ Accountants ("USQ", "we", "us"), for your use of DocuFiled at docufiled.com ("DocuFiled"). By signing in or using DocuFiled you agree to these terms. If you use DocuFiled on behalf of a business, you agree to them for that business and confirm you are authorised to do so.
1. What DocuFiled does
DocuFiled lets you send business documents such as receipts and supplier invoices to USQ by upload, phone camera, email or WhatsApp. It reads key details from each document (for example supplier, dates, GST and totals), suggests an account and GST code, and, once a document is checked and ready, can publish it to your connected accounting software as a bill with the original document attached.
2. Accounts and access
- Access is by invitation from USQ or from an administrator of your business's workspace.
- Keep your sign-in details secure and tell us promptly at info@unitedsq.com if you think someone else has used your account.
- Workspace administrators decide who in their business can access the workspace and are responsible for removing people who should no longer have access.
3. Connecting your accounting software
If you connect an accounting file (for example QuickBooks Online), you authorise DocuFiled to read your chart of accounts and tax codes, and to create suppliers, bills and attachments in that file when a document is published. You must be authorised to give this access for the business that owns the file. You can disconnect at any time from your workspace settings or from within your accounting software; disconnecting stops any further reading or publishing.
4. Your responsibilities
- Only send documents that relate to your business and that you are entitled to share with us.
- Do not send material that is unlawful, malicious, or unrelated to the purpose of DocuFiled.
- Do not attempt to access other businesses' workspaces, interfere with the service, or use it to send unsolicited messages.
5. Automatic reading and accuracy
DocuFiled uses automated tools, including artificial intelligence, to read documents. These tools can make mistakes. Details are shown for review, and documents with missing or inconsistent information are held for review rather than published. You and your accountant remain responsible for checking information before relying on it, and for your tax and accounting obligations. DocuFiled is a record-keeping tool and does not by itself provide tax, legal or financial advice; any advice we give is provided under your separate engagement with USQ.
6. Your data
You keep ownership of the documents and information you send us and of the data in your accounting file. You allow us to store, process and transmit it only as needed to provide DocuFiled and our accounting services to you. How we handle personal information is explained in our Privacy policy.
7. Fees
Any fees for DocuFiled are set out in your engagement or proposal with USQ. If there is no fee in your engagement, DocuFiled is provided as part of our services to you.
8. Availability and changes
We aim to keep DocuFiled available and secure, but we do not guarantee it will be uninterrupted or error free. We may change, suspend or discontinue features, and we may update these terms. If we make a material change we will let you know through DocuFiled or by email, and the updated terms apply from the date shown above.
9. Liability
Nothing in these terms excludes rights you have under the Australian Consumer Law that cannot be excluded. To the extent permitted by law, we are not liable for indirect or consequential loss, or for loss arising from information you did not review before relying on it, and our total liability in connection with DocuFiled is limited to resupplying the service or the fees you paid for it in the 12 months before the claim.
10. Ending your use
You can stop using DocuFiled at any time. We may suspend or end access if these terms are breached, if your engagement with USQ ends, or where needed to protect the service or other users. When access ends, connections to your accounting software are revoked; records we must keep under professional or legal obligations are retained as described in our Privacy policy.
11. Governing law
These terms are governed by the laws of Victoria, Australia, and the courts of Victoria have jurisdiction.
